How to make a wedding seating chart
The order matters more than the tool. Do these seven things in sequence and the chart stops being the worst week of the planning.
The seven steps
1. Close the RSVPs and freeze the list
Work from one spreadsheet with a name column and a group column. Every later change goes into that one file, never onto a printout.
2. Get the real floor plan from your venue
Ask for table count, table sizes, and where the bar, dance floor, cake table and service doors sit. These fix the layout more than any preference you have.
3. Tag every guest with a group
Bride's family, groom's family, uni friends, work, neighbours, plus-ones. Grouping is 80% of the work — once tagged, the tables almost fill themselves.
4. Place the anchors first
Head or sweetheart table, then parents, then elderly guests near the front, then families with children near the exit. Everyone else fits around them.
5. Fill the tables by group
Keep each group together, and never strand a single guest among strangers. If a group overflows a table, split it at a natural seam — couples stay together.
6. Read it back as a guest
Walk each table in your head: who is on my left, who is opposite, can I hear the speeches? Fix anyone who has nobody to talk to.
7. Export, print, and keep one editable copy
Send the venue a table-by-table list, print the display chart, and keep the file open on your phone for the inevitable day-before dropout.
Mistakes that cost you an evening
- Starting before RSVPs close — you will rebuild the whole thing.
- Making a singles table. It is obvious and nobody enjoys it.
- Ignoring the speaker positions; the tables beside them hear nothing.
- Forgetting supplier meals — photographer, band and planner all need a seat.
- Working on paper, so every dropout means starting again.
Questions
When should I make the wedding seating chart?
Once RSVPs close, usually two to three weeks before the day. Any earlier and you will redo it; any later and the venue and calligrapher will not have time.
How long does a seating chart take?
Manually, most couples spend two evenings on it. With a paste-your-list tool and auto-grouping it is closer to twenty minutes plus a few tweaks.
Seating chart or escort cards?
